Privacy Policy
Effective October 24, 2026
This Privacy Policy explains how Motus Strength Health Club Inc. ("Motus Strength", "we", "us"), which operates macrointuitiveOS, collects, uses, shares and protects your personal information — including health and fitness information.
1. Who we are
macrointuitiveOS is operated by Motus Strength Health Club Inc., based in Ontario, Canada. We are responsible for your personal information and follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply to you. Our Privacy Officer can be reached at tim@macrointuitive.com.
2. Information we collect
- Account details — your name, email address and sign-in details (passwords are stored encrypted by our sign-in provider).
- Membership details — your membership status and coach, from our membership and customer system.
- Intake and profile — the goals, history and preferences you share with us.
- Health and fitness information — bodyweight, measurements, steps, sleep, hunger, progress photos, workouts and training logs, the foods you log (including meal photos, favourites and meals), nutrition plans and macro targets, check-in answers and progress reports.
- Coaching communications — messages and notes, and coaching-call recordings, transcripts and summaries when calls are recorded.
- Wearable data, if you connect a wearable — daily steps, sleep time and bodyweight from the brand you connect (Oura, WHOOP, Withings or Polar), which fill in your Check-In. Disconnect any time in Profile Settings; values already in your Check-In stay unless you delete them.
- Files your coach keeps for you — for example tracking sheets in a Google Drive folder.
- What you send to AI features — messages to Tim AI, photos of meals, labels or menus, and speech converted to text. See our AI Disclosure.
- Products you add to the shared barcode library (product details only).
- What you share in the Community — your posts (text, photos and links), comments and likes, shown with your first name and last initial.
- Technical information — IP address, browser and device type, and activity logs needed to secure and run the app; small files in your browser (cookies and local storage) that keep you signed in and remember settings such as units. We don’t use advertising or cross-site tracking cookies.
- Records of your agreements — when you accepted our AI Disclosure, Privacy Policy and Terms of Service, which version, and your IP address and browser at the time.
3. How we use it
- to provide your coaching and the app’s features;
- to personalise your experience, including through AI features (see our AI Disclosure);
- to track your progress and prepare your check-ins, reports and plans;
- to communicate with you about your coaching and account;
- to keep the app secure, prevent misuse and fix problems;
- to meet our legal obligations; and
- to produce aggregated, de-identified statistics about how the app is used.
We don’t use your information for advertising, and we never sell it.
4. Your consent
By accepting this Privacy Policy, you give us your express consent to collect, use and disclose your personal information — including your health information — as described here. You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us. We’ll explain what that means for your service; some or all features may stop working.
5. Who can see your information
You and your coaching team (your coach and authorised staff of Motus Strength Health Club Inc.). Other clients cannot see your information — except product details you add to the shared barcode library, which contain nothing about you, and what you choose to share in the Community.
Other members, for what you post in the Community. Your posts, photos, links, comments and likes in the Community are visible to every member of the app (coaching clients and app customers) and to our coaching team, shown with your first name and last initial. Only share what you’re comfortable with other members seeing — for example, think before posting progress photos or health details. Nothing else in your account (your tracking, plans, photos elsewhere in the app or your coaching information) is shown in the Community.
Service providers that help us run the app, under contract, using only what they need to provide their service to us and not for their own purposes:
- Supabase — database, file storage and sign-in;
- Vercel — website hosting;
- Anthropic — AI models (see our AI Disclosure);
- Brevo — email delivery;
- GoHighLevel — membership and customer management;
- Fathom — coaching-call recording and summaries;
- Google — the Drive files your coach keeps for you.
- Oura, WHOOP, Withings and Polar — only the ones you choose to connect, which send us your data from their service.
If you use Voice logging, your device’s or browser’s speech-recognition service (for example Apple or Google) processes your speech under its own privacy terms. Barcode lookups send only the barcode number or search words to Open Food Facts and USDA FoodData Central.
We may also disclose information when the law requires it, to protect someone’s safety, or as part of a sale or reorganisation of our business, under confidentiality obligations.
6. Where your information is stored
Our service providers store and process information in the United States and possibly other countries. While there, it may be accessible to courts and authorities under local laws. We use contracts and security measures to protect it.
7. How long we keep it
We keep your information while your account is active so your history stays available to you and your coach. Meal photos are deleted after 24 hours, and we don’t keep transcripts of Tim AI conversations. When your account closes, or you ask us to delete your information, we delete or de-identify it within a reasonable time, except what we must keep for legal, tax or dispute reasons (such as records of your agreements), which we keep only as long as needed. Products added to the shared library stay, as they contain no personal information. Community posts and comments stay up until you delete them, we remove them, or your account is deleted.
8. Your rights
You can ask to access the personal information we hold about you, correct it, delete it, or withdraw your consent, and you can ask how we handle it. Email tim@macrointuitive.com; we’ll respond within 30 days. If you’re not satisfied, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca). If you live outside Canada, you may have additional rights under your local law, and we’ll honour them where they apply.
9. Security
Information is encrypted in transit and protected with access controls that limit it to you and the coaching team. No system is perfectly secure, but we take reasonable measures to protect your information. If a breach creates a real risk of significant harm to you, we’ll notify you and the Privacy Commissioner as the law requires.
10. Children
macrointuitiveOS is for adults. It is not directed to, and we do not knowingly collect information from, anyone under 18.
11. Changes to this policy
If we make material changes, we’ll tell you in the app and ask you to review and accept the new version. The effective date at the top shows the latest version.
